Overcoming Communication Breakdowns in Organizations: A Problem-Solving Experience

Communication breakdowns can significantly impact the effectiveness and cohesion of an organization. This article explores a personal experience of encountering a study in communication within an organization and highlights the problem-solving process employed to address the issue. 

The incident involved a suggested topic for a meeting agenda that was omitted intentionally, reflecting an organizational culture that silenced certain voices and avoided specific discussions. However, through experientially based decision-making processes, the organization’s leadership was able to rectify the situation and demonstrate a commitment to inclusive communication.

  • Identifying the Problem

The problem arose when I submitted a suggested topic for a future meeting agenda through an established online form. Despite receiving a confirmation of receipt, the case was not included in the plan at the subsequent general body meeting.

This discrepancy prompted me to inquire with the organization’s leaders and secretary, who revealed that the topic was never submitted. However, I later learned from another member that it had been intentionally left off the agenda, indicating a breakdown in communication within the organization.

  • Analyzing the Organizational Culture

The decision to omit my suggested topic shed light on an underlying organizational culture that silences certain voices or avoids discussions that some members may find uninteresting or contentious. 

This culture creates interpersonal barriers and hinders open communication. However, it is essential to note that the decision to eventually include the topic in the agenda, following a conversation with the leadership, demonstrated that the organization needed to conform to the limited perspectives of a small portion of individuals.

  • Experientially Based Decision-Making

The organization’s leadership employed experientially based decision-making processes to overcome the communication breakdown and rectify the situation. They recognized the value of incorporating a variety of past experiences, emotional reactions, and knowledge and beliefs in producing decisions that may not be possible through strictly rational approaches alone (Shockley-Zalabak, 2015). 

By considering the input and concerns raised by stakeholders, including my email confirming the submission and subsequent discovery of intentional omission, the leadership made the best decision to add the topic to the agenda.


The experience of encountering a communication breakdown within an organization highlights the importance of addressing such issues to maintain a healthy and inclusive work environment. By recognizing the influence of organizational culture and employing experientially-based decision-making processes, leaders can navigate challenges and promote open communication.

Organizations can overcome communication breakdowns through effective problem-solving and a commitment to inclusive communication and cultivate an environment conducive to collaboration, innovation, and success.
